What it does

One system, from the counter to the books

Most shops in Ghana run on three separate things: a notebook for sales, a rough count of what is left on the shelf, and the owner's memory for who still owes money. It works until the shop grows. Then stock goes missing without anyone noticing, the fast movers run out on a Saturday, and nobody can say what the month actually made.

TailoredFlow replaces all three with one system that updates itself as you sell.

Point of sale

Sell from a phone, tablet or computer. Scan a barcode or search by name, take cash, Mobile Money or card, apply a discount, then print the receipt or send it to the customer by email or SMS. The Mobile Money and card can be collected through TailoredFlow itself if you want it that way; see payments. Each sale writes itself into your stock and your day's takings at the same moment, so the count on the screen is the count on the shelf.

Inventory management that matches how you actually buy

Stock arrives by the case and leaves by the piece. TailoredFlow handles the conversion for you (case, pack, piece, yard or pill), so receiving twenty cartons and selling a single sachet are the same item, counted correctly. Set reorder points and get told before a fast mover runs out rather than after. For anything with a shelf life, batch and expiry alerts warn you while the stock is still sellable.

Sub-selling units, each with its own price

One product, as many selling units as the trade needs. A carton holds twelve packs, a pack holds twenty-four pieces, and you say so once. From then on the counter offers the unit, not the arithmetic: pick carton, pack or piece at the point of sale and the right quantity comes off the shelf. Stock is always held in the smallest unit, so the two ends of the business, receiving in bulk and selling singles, can never drift apart.

The part that makes it worth money is the price. Every unit can carry a price of its own, so a carton is a real bulk deal rather than twelve times the piece price, and your staff cannot invent the discount at the counter. Anything you leave unpriced is worked out from the single-unit price, so you only set the ones that matter. At the end of the month the unit-mix report puts the two side by side: how much moved in each unit, what it actually earned, and what the same stock would have earned sold one at a time. That gap is the bulk discount you gave away, in cedis, instead of a feeling.

Orders, deposits and quotations

For businesses that take work in advance, an order runs from first measurement to delivery: what was agreed, what was paid as a deposit, what is still owed, and which member of staff is working on it. Send a proforma quotation and turn it into an order when the customer agrees.

Credit, staff and reports

Sell on credit and keep a proper ledger of who owes what, then take repayments against it at the counter. Give staff their own logins with role-based permissions so they can sell without seeing your margins. At the end of the month, pull reports your accountant will accept instead of reconstructing the period from memory.

Take the money, not just the order

Mobile Money and card, collected at checkout

A POS that only writes down what you were paid is half a POS. TailoredFlow can collect the payment itself: at checkout the customer pays by MTN Mobile Money, Telecel Cash, AirtelTigo Money or card, the sale marks itself paid the moment the money actually lands, and we settle it to your account. No prompt sent from a personal wallet, no screenshot to squint at, and no arguing at close of day about which sale the money in the phone belonged to.

It is opt-in, and off by default. Leave it off and nothing changes: the checkout keeps its ordinary MoMo and card buttons, which record that money reached your own wallet or terminal and that you confirmed it. Turn it on and you need to send us your Form A first, because at that point we are handling your money and we would rather be able to prove whose it is. Everything else we already have from your business profile.

Once it is running, every payment shows up under Payments received with its channel, its status and the sale it belongs to, and the money moves out to you without you having to ask. Reconciliation stops being a job.

Bring the customer back

Bulk SMS campaigns, priced before you send

The cheapest sale you will ever make is the second one to somebody who already bought from you. TailoredFlow already knows who those people are, so the campaign is built from the customer list you have been filling in at the counter all along, rather than a spreadsheet you have to assemble first.

Write the message once and send it under your own registered sender ID, so it arrives from your shop's name and not a random short code. Personalise it and each person gets their own name in the text. Before you send, you see exactly what it will cost: how many parts the message splits into, how many recipients survive cleaning, and the total in cedis. Afterwards you follow it per recipient (sent, delivered, failed) instead of hoping.

Campaign credit is prepaid and topped up with Mobile Money, separate from your subscription. You spend what you have loaded and nothing more, so a campaign can never quietly run up a bill. Use it for a promotion, a restock, a public holiday, or the quiet Tuesday that needs help.

How much does a POS system cost in Ghana?

TailoredFlow starts at GH₵120 per month, or GH₵100 per month when you pay for the year. The Pro Growth plan is GH₵200 per month, or GH₵167 per month billed annually. There is no setup fee and no hardware to buy. It runs on the phone, tablet or computer you already have. Every plan starts with a 30-day free trial and no card is required.

Do I need special hardware to use it?

No. TailoredFlow runs in a web browser, so a phone is enough to start selling. If you already own a barcode scanner, a thermal receipt printer or a cash drawer, they are supported, but none of them are required.

Is there an Android app?

Yes, and you can download it directly. It turns a handheld POS terminal into your whole shop counter: ring up the sale and the receipt prints from the device in your hand, with no monitor and no fixed till. It is the same TailoredFlow on the same account, so your stock and your sales are already there when you sign in.

Does it work when the internet goes down?

TailoredFlow works best with an internet connection, but you can still view your data when you are offline. Changes sync automatically once you are back online.

Can I sell on credit and track who owes me?

Yes, on the Pro Growth plan. You can record a sale as buy-now-pay-later, keep a customer ledger of what is owed, and take repayments against it at the counter.

Can my staff use it without seeing my profits?

Yes. Staff get their own logins with role-based permissions. They can ring up sales and update stock without access to your financials or your reports.

Can customers pay by Mobile Money through the POS?

Yes. You can let TailoredFlow collect payment at checkout: the customer pays by MTN Mobile Money, Telecel Cash, AirtelTigo Money or card, the sale is marked paid the moment the money lands, and we settle it to your account. It is optional. Leave it off and the checkout keeps its ordinary MoMo and card buttons, which simply record that money reached your own wallet or terminal. Turning collection on needs your Form A, because we would be handling your money.

Can I sell the same product in different units at different prices?

Yes. Give a product as many selling units as you need, such as carton, pack and piece, and say how many of the smaller unit each larger one holds. Stock is always counted in the smallest unit, so receiving ten cartons and selling three pieces stay in step automatically. Each unit can carry its own price, so a carton can be a genuine bulk deal rather than just twelve times the piece price. The unit-mix report then shows how much you actually gave away in bulk discounts.

Can I send SMS marketing campaigns to my customers?

Yes. Message your whole customer list, or a personalised message that fills in each person's name, sent under your own registered sender ID. You see the exact number of parts and the exact cost before you send, and you follow delivery per recipient afterwards. Campaign credit is prepaid and topped up with Mobile Money, so it is separate from your subscription and you only ever spend what you have loaded.

Is my business data safe?

Your data is stored in the cloud with bank-level encryption and backed up automatically, and you can export it at any time. If a phone is lost or stolen, nothing is lost with it. Sign in on another device and everything is there.
